Step 3 is the signing stage and is the key feature that makes Time-Tracker stand out from other timesheet solutions.
The first person to sign the timesheet is always the user. When an approver first e-Signs they will have to fill-in their Full Name and Company before they proceed. However, once they sign up for a free Echosign account this will be pre-populated the next time they are requested to sign a timesheet. Once they have signed the document is forwarded, in turn, to subsequent approvers.
Each approver follows the same process of clicking on the link in their email to open a web browser and the timesheet document is presented to them. The signature of any previous approvers is clearly visible, helping to build confidence during the signing process.
Sign your way
For those approvers who would prefer their e-Signature to look like their ‘real signature’ they can upload a scan of their signature that will be used every time.
Should an approver not want to do this but still want to put a handwritten signature on the document then they can still fax their signature. This is accomplished by clicking on the required link and then printing the document, signing it and faxing it back to the number provided. It is then forwarded onto the next approver with copies of all the previous signatures, and the hand-written one, all included on one document.
Sign or Decline
If an approver is not happy with an entry on a timesheet they can select the option to decline to sign, providing a reason if they choose. This will reject the timesheet and anyone who has previously signed the timesheet will be notified that the document has been cancelled. This ensures everyone agrees on the content of the timesheet before it is fully Signed & Filed.
As each timesheet is a unique, secure document the user has to correct their error and resubmit the entries again. For audit purposes it is impossible to resubmit the same document once it has been declined.
All users of the system can see any signed timesheets that are rejected
Delegate
If an approver has been on holiday and a deputy has been covering the approver may want them to sign the timesheet. When the approver receives the request to sign, they can select the delegate option, enter an email address and then this person will receive the request to sign. This is a temporary solution that can be used for these type of adhoc situations. If the approvers were going to change on a more permanent basis then we would update the approvers as part of our maintenance service.
